Summary: You can request deletion of your WooChat account and all associated data at any time by emailing privacy@woowhatsapp.com. We will complete the deletion within 30 days and confirm once done.
What Data We Hold
When you use WooChat, we store:
- Your account details (name, email address, hashed password)
- Your workspace and WhatsApp Business API credentials (encrypted)
- WhatsApp message history between you and your customers
- Contact records (phone numbers and names from your conversations)
- Chatbot configuration and knowledge base entries
- Billing records (subscription history — retained for 7 years per financial regulations)
- Usage logs and error logs
How to Request Data Deletion

Include the email address associated with your WooChat account so we can locate and verify your data.

We will acknowledge your request within 5 business days and complete the deletion within 30 days.

You will receive a confirmation email once all your data has been permanently deleted from our systems.
What Gets Deleted
Upon a confirmed deletion request, the following will be permanently removed:
- Your account and login credentials
- All WhatsApp conversations and message history
- All contact records in your workspace
- Your WhatsApp Business API credentials and configuration
- Your chatbot knowledge base and configuration
- All other personally identifiable information linked to your account
What We Are Required to Retain
Certain data must be retained for legal and regulatory compliance and cannot be deleted on request:
- Billing records: Transaction and invoice records are retained for 7 years as required by financial regulations (South African Revenue Service and applicable law).
- Legal holds: If your account is subject to an active legal investigation or dispute, deletion may be deferred until the matter is resolved.
All other data will be permanently and irreversibly deleted.
Deleting Your Account Yourself
If you have an active WooChat account, you can also initiate deletion directly from within the app:
- Log in to your WooChat account
- Go to Settings → Account
- Click Delete Account and confirm
This will immediately cancel your subscription (if active) and queue your data for deletion within 90 days. To request immediate deletion, email us as described above.
Facebook / WhatsApp Data
WooChat acts as a data processor for the messages transmitted via Meta's WhatsApp Cloud API. Deleting your WooChat account will remove all message data stored on our servers. However, message data that has already been processed and delivered through Meta's infrastructure is subject to Meta's own data policies. We have no ability to delete data held directly by Meta.
